Iconic Accountants Inc. (“Iconic Accountants,” “we,” “us”) is a Florida corporation based in Clermont, Florida, providing bookkeeping, payroll, tax preparation and business services. This policy explains how we collect, use, share and protect information through our website, iconicaccountantsinc.com, and our client portal, and the choices you have.

2.Information we collect

Information you give us

• Proposal request form: your name and email address and, if you choose to give them, your business name and phone number, together with the services, business size and tax returns you selected in the price calculator.
• “Talk to a person”: your name, a phone number or email address, and the questions you typed on the questions desk.
• Client portal (clients only): the documents you upload, your answers to our questions and the messages you send us.

Information collected automatically

• As with any website, the services that deliver this site receive your IP address and basic technical information about your browser and device when you visit. We do not use this information to identify you.
• The questions desk stores one random session number in your browser’s session storage so a conversation stays together. It is deleted when you close the tab and does not identify you.

3.How we use it

• To reply to your request and contact you, as you asked us to.
• To prepare a proposal and, if you become a client, to provide the services you engage us for.
• To send you messages about your request or your account.
• To keep our website, forms and systems secure and to prevent misuse.
• To meet our legal and professional obligations.

We do not sell your personal information, and we do not share it with anyone for their own marketing.

4.Who we share it with

We share information only with the service providers we rely on to operate our website and serve you, and only for that purpose:

• Cloudflare delivers this website, the animation library it uses, and the secure connection to our client portal.
• Google provides our business email. This website also loads its typefaces from Google Fonts, which receives your IP address when the page loads.
• Telegram carries a private notification to Richard Feliz’s phone when you press “Talk to a person,” containing your name, your contact details and the questions you asked.

We may also disclose information when the law requires it, such as in response to a valid legal request, or to protect our rights and the safety of others.

5.Tax and financial information of clients

If you become a client, the tax and financial information you give us is confidential. Federal law, including section 7216 of the Internal Revenue Code, restricts how tax return preparers may use and disclose tax return information. We use your tax return information only to provide the services you engaged us for, and we do not disclose it for any other purpose without your written consent, except as the law allows.

Statements, returns and other documents are exchanged only through our client portal, which requires a sign-in, and never through the forms on this website.

6.How we protect it

• Connections to this website and to our client portal are encrypted (HTTPS).
• Client documents are exchanged only inside the client portal, behind a sign-in.
• Our backups are encrypted.
• Access to client information is limited to the people who need it to serve you.

No method of transmitting or storing information is completely secure, but we take reasonable steps to protect the information you trust us with.

7.How long we keep it

• Website requests: for as long as we need them to reply and follow up. If you do not become a client, you can ask us to delete your request at any time.
• Client records: for as long as we need them to provide our services and as long as the law and professional standards require us to keep tax and accounting records.

8.Your choices

You can ask us to:

• tell you what personal information we hold about you;
• correct information that is wrong;
• delete information you sent us through this website; or
• stop contacting you.

To make a request, call or text 407-800-1450 or email Richard@iconicaccountantsinc.com. We will respond within a reasonable time. Some records we are required by law to keep, and we will tell you if that applies.

9.Cookies and similar technology

This website does not use cookies for analytics, advertising or tracking. The questions desk uses the session storage described in section 2. Our client portal uses a cookie only to keep you signed in; it is not used for tracking.

10.Children

Our website and services are intended for adults and businesses. We do not knowingly collect personal information from children under 13.

11.Links to other websites

Our website links to other services, such as Google and WhatsApp. Information you give to those services is governed by their own privacy policies, not this one.

12.Changes to this policy

If we change this policy, we will post the updated version on this page and change the effective date above.
